Polarsteps now lets you forward your accommodation booking confirmation emails directly to the app. We’ll automatically add the stay to the steps in your planned trip, saving you time and ensuring you have your booking details neatly organized in one place.
How does it work?

Check if the email address you used to book your accommodation is the same as your Polarsteps account email. To find your Polarsteps email, open the app > go to Settings > Account settings.
If your Polarsteps email is the same as your booking email, please proceed to step 2.
Otherwise, first add your booking email as a secondary email address in the Polarsteps app. You can do this by opening any of your planned steps, tapping Stays > Forward confirmation email, and entering your booking email as the secondary email address there. This can also be the email of a friend or family member who made the booking.
- ⚠️ If you see an email ending in @privaterelay.appleid.com in your account settings and are unsure why, please read this article for more information. Adding a secondary email will be necessary.
- Make sure you have a planned step in your upcoming trip that has dates and a location that correspond to your booking. If not, please add a planned step first.

Forward your booking confirmation email to: plan@polarsteps.app
You can forward booking confirmation mails for your hotels, hostels, Airbnb, etc. We then match it to the correct trip and planned step based on trip dates.The app will scan the email and extract details including your:
- Accommodation name
- Check-in & check-out dates
- Location (if available, Airbnb doesn’t share this up until 3 days before check-in)
- Accommodation website
- Booking provider (Booking, Airbnb, Hostelworld, etc.)
- Once processed, you will receive a push notification to confirm that your booking was added. That's it! Tapping it opens the planned step where everything is visible. You should see the update in the app within 5 minutes of forwarding.
I forwarded the booking confirmation, but I don't see it in my planned step. What happened?
If forwarding the booking email did not add the information to your planned steps automatically, please check:
- Your inbox: Maybe you sent the email to polarsteps.com and not polarsteps.app: in this case you should have received an email notifying you that your email was not forwarded successfully. Please try again using plan@polarsteps.app.
- Your email address: Please make sure that the email you used to forward the booking confirmation is the same as your Polarsteps account's email, or the secondary email address you added.
- Your planned trip: If you have a planned step that corresponds to the booking, and that it has the correct location & dates.
- Your email might have been marked as spam on our side or something else may have happened. In that case, please reach out to use at support.polarsteps.com/contact. We'd be happy to have a look what went wrong!
I received a confirmation email from someone else Can I forward it?
Yes, if you have received a booking email from someone you're traveling with, that is no problem Re-forwarded emails can be sent to plan@polarsteps.app, just like any regular booking email. However, putting plan@polarsteps.app in CC or BCC does not work.
The confirmation email is in a different language or does not use the latin alphabet. Can I still forward it?
If your confirmation email is written in a different language or one that uses a different writing system (for instance Arabic, Cyrillic, Chinese characters, etc.), you can still forward it to plan@polarsteps.app. Almost all languages should work, but different writing systems can be a bit harder for our app to understand.
